Holiday cover: if only I’d known a virtual assistant back then…!

Holiday luggageIn my past employment, I spent many years working as an Office Manager, in a variety of businesses.  I managed small teams of admin staff and was responsible for ensuring that the admin side of the business ran smoothly.  Now, in a perfect world, that sounds straightforward enough – recruit the right people for the job, train them where needed and work with them to achieve the best possible outcome.  The problem comes when one of them decides to take a holiday.

A perfectly reasonable request, and undoubtedly well-deserved but, when the team is small, the absence of one person can have a huge impact on the staff left in a busy office.  And if one of the other members of the team becomes ill and has to take sick leave it can be devastating for the smooth-running of the office.

If the work is left to await their return it can put your business in jeopardy.  So the question is what is the best way to deal with the extra work which still needs to be completed?

Redistribute the work?

Some offices will spread the work between the other staff; this can work fine as the other members of the team can easily be instructed on what needs to be done, but it can load a lot of pressure onto those people, which can be very demotivating and lead to high staff turnover.

Hire a temp secretary?

Other businesses will hire a temp secretary for that period of time, through a recruitment agency.  But this creates a different set of problems:  that temp will need to be inducted into the company, trained and monitored, all of which takes a lot of time and they will probably just be settling into their role when the secretary returns from their holiday!  It’s clearly not time-efficient.

There is another way.  Wouldn’t it be easier to be able to call on somebody who knows your business, understands how you work so needs no training and is available when you need them, for as much or as little time as you need?

If I had known about virtual assistants when I was an office manager I wouldn’t have hesitated to hire one for times such as these!  Having a Virtual Assistant on call whenever I needed some holiday cover or extra support in busy times, somebody who already knew how our business  and company processes worked, would have saved so much time and stress and ensured the continued smooth running of the office – as well as a clear desk for the secretary when they arrived back from holiday raring to start afresh!
